Check-In To-Dos & Open Items

From the June 5 & June 12, 2026 weekly check-ins (Gary · Mark · Carly · Shelly Null).

👤 Gary's To-Dos

  • Write up a plan/proposal for the new "lecture-first" production pipeline — Mark records a 30–50 min lecture per lesson → AI peels it into the structured page (chapters, cards, quiz, glossary) + a drip email. Show how it simplifies Mark's prep and scales across 5 years Gary · top priority
  • Pull together budget / cost-to-build numbers for the Champions Academy so Mark can put them in his June 18 board report (current scope has outgrown the original podcast-posting retainer) Gary · before Jun 18
  • Evaluate whether the "Champions Advocate Weekly" newsletter can be produced faster/better with AI — concept mockup (newsletter-concept.html) — ✅ presented June 12. Next step done: built the on-site digest + click-through approval demo (advocate-weekly-demo.html) Gary promised — forward to legal & Mark. Then: wire a real story page on the live site + the thin-email send path once direction is confirmed Gary · demo done
  • Stand up the drip email system — free tool (~2,000 addresses), AI-built branded emails, auto-enroll on signup, scheduled cadence across the curriculum Gary
  • Email send path — decided: Resend. Email Octopus’s API can’t create/send a broadcast (contacts + pre-built automations only), so it can’t send from the site. Resend can (Broadcasts API), billed by contacts not sends (so frequency is free), with built-in open & click tracking. Full write-up in advocate-email-plan.html. Next: build the send-advocate Netlify function + verify the news. sending domain; still resolve the “Abba Dabba” account merge and drop the $20/mo MailChimp Gary · plan done
  • Add a feature to surface Advocate Weekly stories on the live site (today they exist only in the email) — index podcasts/lessons/blog so each story auto-shows related approved content Gary
  • Build the 2027 March for Life planning guide (print + web) from Mark's emailed planning doc — ✅ done June 12; 8-page print PDF (champions-march-for-life-2027-planning-guide.pdf) + responsive web page (march-for-life-2027.html). Pending: Mark's review + link placement on index.html Gary · done
  • Write process documentation (the "hit by a bus" safeguard) so an intern can run the AI workflow end-to-end Gary
  • Set up Mark's @champions-network.com email right after the call — Mark confirmed he wants one; he just needs to approve it, then Gary updates the site Gary
  • Explore an auto-transcription agent for Dr. Seltz's Liberty Action Alerts / podcasts (drop file → transcript cleaned & posted); offer transcript downloads in the Academy Gary · explore
  • Upload the Mom & Pop papers to the site so champions can access them directly Gary
  • Fix the Modern 4-page brochure cover (layout gap / "cover problem"), add the 4-pager to brochure.html, then send Mark the review link Gary
  • Write internal docs for setting up Stripe + taking payments (501(c)(3) + designated bank account) Gary
  • Build the Subscriber Academy shell + admin backend Gary

👤 Mark & Carly's To-Dos

  • Starting September, re-record Year 1, Lesson 1 onward as 30–50 min lectures in the new format; keep feeding lectures to Gary lesson-by-lesson Mark · Sept
  • Present the Champions Network budget at the June 18 board meeting (also Seltz's retirement transition — contracting back 10–20 hrs/wk) Mark · Jun 18
  • Email Gary the March for Life planning doc (link he mentioned) to turn into a planning guide Mark
  • Onboarding Shelly Null (retired corporate counsel, Bloomington IL) as the volunteer partner on Champions Advocate Weekly — story cultivation + production notes; flagged getting expert copyright advice Mark · Shelly
  • Check with legal / doctrinal on the copyright posture of hosting a short curated excerpt on the site vs. only linking from the email (Gary’s demo is built to forward) Mark + Legal
  • Carly: pull MailChimp analytics — click-through & read rates / reader behavior — so we know whether a thinner email loses scanners before we trim it Carly
  • Decide the email platform path: keep MailChimp ($20/mo, 500 cap, ~70 subs) or proceed with the merge into the larger “Abba Dabba” account (Lindy & Pam) Mark
  • Approve the new @champions-network.com email once Gary sets it up Mark
  • Select better Vimeo thumbnails for the session videos (cleans up the auto-grabbed frames) Mark
  • Final review of the 8-page brochure → approve to send to the printer; decide own printer vs. Gary's printer Mark
  • Check with St. Louis on protocols before taking payments / standing up a merchant account — avoid "landmines" Mark
  • Confirm the LCRL 501(c)(3) bank account designated for Academy revenue Mark
  • Share Gary the Mom & Pop Paper PDFs + session video URLs — ✅ provided; wired into Session 003 Mark · done

✅ Direction Set (June 5)

  • Pivot to a "lecture-first" production model. Instead of assembling 25 resource pieces per lesson (~10 hrs each), Mark records a 30–50 min lecture and AI peels it into the structured page. Aim for a "Reader's Digest," bite-sized feel so people aren't overwhelmed.
  • Layer on scheduled drip emails — sign up and you're auto-enrolled into a cadence of short, scannable lessons across the multi-year curriculum.
  • Generate group discussion cards (4–5 questions per session) from each lesson — optionally printed as a physical takeaway.
  • Strip heavy podcast production (no music/long intros) in favor of clean studio audio + a chaptered, scannable page.
  • Build AI process docs so an intern can run the workflow — continuity if Gary is unavailable.
  • Still in force from May 29: build the Subscriber Academy shell, charge up front via Stripe w/ coupon codes, monthly/annual recurring, gift subscriptions, admin backend; Sessions 2 & 3 stay public.

🛠 Queued & Upcoming

  • Lecture-first pipeline proposal + Academy budget numbers — for Mark's June 18 board report Before Jun 18
  • 2027 March for Life planning guide — print + web — built June 12; awaiting Mark's review + a link on the main site Review
  • Drip email onboarding system — wire to signup once the Academy shell lands With Academy
  • Subscriber Academy launch — needs LCRL bank account + board oversight report; target end of summer Summer '26
  • New lessons re-recorded as lectures, starting Lesson 1 Sept '26
